December 2020 Update

#1 Feature: Signee Titles now supported

  • Signee Titles (e.g. Manager, Quality Assurance) can now optionally be captured and stored with the electronic signature.

  • The new Title property is displayed on the Signature Panel, Signature Certificate, and Signature Export custom field. For usability the system remembers the user's title from the last signature, and uses that value as the default for their next signing.

#2 Feature: Signature Meanings now configurable and inviteable

  • Signature Meanings can now be configured into a custom picklist and Signature Invites can now request specific meanings for each invitee. The default list includes “Approval”, “Author”, and “Review” but the list is customizable per project.

  • Current Customer Impact: Existing projects and users that currently eSign with hand-entered meanings other than Approval, Author or Review will need to update the Signature Meanings list in eSign Project Settings before users can sign using those other meanings.

#3 JQL Invitation Search Support

Users can now utilize JQL search keywords to search for pending signatures (by User or Count). Administrators can use this with scheduled filters to send periodic reminders to invited users with outstanding signatures.

#4 Signature Export custom field extended.

The Signature Export custom field has been extended to include the Title and Meaning for all signatures on the issue. The extended format now includes Name, Title, Date/Time, and Meaning. This field can be exported from Jira CSV/Word or added to Xporter/Xray templates.

#5 Invites now support Signature Meanings.

Signature invites may now (optionally) include a signature meaning for the invited users. This will improve clarity of what each person is being requested to sign for. The invited meaning is included in the user notification, signature panel, and is auto-selected when that user prepares to execute their signature.

#6 Additional Changes

  • eSign authentication tokens have been extended to 60 minutes to reduce interruptions if the user has been idle on the Jira issue screen for a while.

  • Minor layout and format changes to the Signature display panels and dialogs to accommodate the additional information.

  • Various security enhancements. Reminder that all signature data is permanently stored within the customer’s Jira instance. No personally identifiable information is stored within the eSign App infrastructure.

November 2020 Update

ENHANCEMENT - SIGNATURE INVITE

  • The new Invite feature has been enhanced to allow inviting by groups in addition to users.  With the new group invite all users within the groups will be invited to sign the issue (max 25 users).

  • All invitees are now automatically set as watchers upon invite so that they are notified of signatures. 

USABILITY

  • To improve visibility of signature time zones the default time zone is displayed in the signature panel heading.  Any alternate time zones in use are displayed beside the signature date and time.  

  • Status lozenges for "Signed" and "Void" signatures added for visibility. 

 PERFORMANCE

  • Diagnostic measurements have been added to the eSign App Configure page to view/measure latency between eSign, Jira and the client browser.  Administrators can access from Apps | Manage Apps | eSign | Configure.

October 2020 Update

NEW FEATURE - SIGNATURE INVITE

  • See the Invite Feature Demo (video)

  • Invite a set of users to sign any issue.   eSign will add a pending signature for each invited user, visible on the page and certificate.

  • Invitees will receive e-mail request to sign with a link to the issue, list of invitees and notes.

  • Advanced workflow conditions have been enhanced to restrict transitions for issues with pending signatures. 

  • The reset dialog now provides option to remove pending signatures. 

USABILITY

  • The Sign button now highlights when viewed by a user with a pending signature (i.e. invited).

  • New summary tag to show total Invites and Complete/Pending Signatures.

  • Added issue data verification message on the Signature dialog and certificate button renamed to Verify.

  • Improved messaging for new users without pins on the Signature dialog and User Settings page.

PERFORMANCE

  • Reduce third-party font dependencies to optimize page load time.

  • Extend caching of addon properties to improve server response time.

  • FEATURE - ADVANCED SECURITY

    • There is a new Advanced Security option for fine-grained eSign permission control.  Signature Execute and Reset access can now be managed as standard JIRA permissions and assigned to Roles/Groups/Users etc.  

    • Opt in to Advanced Security in eSign Project Settings.  The current security policy remains in effect for all projects by default.

  • FEATURE - SIGNING READ-ONLY ISSUES

    • Signature execution on read-only issues is now supported (Advanced Security option). This provides increased workflow flexibility to have (for example) the issues in a read-only status during signing,

  • FEATURE - MULTI-CERTIFICATE EXPORT

    • eSign certificate reports can now be generated for multiple issues from the Export > eSign Certificates menu in the JIRA Search results page.

    • This feature will allow users to export certificates for groups of related issues (e.g. child sub-tasks, searches across projects, and any other issue search result.)

  • PERFORMANCE & USABILITY

    • Signature panels and dialogs will now load faster due to improvements in server side processing.

    • Certificate generation has been optimized for export.

    • The [ Sign ] button is now clickable at all times to provide user clarity on why signatures may or may not be performed.
